Section 1

Getting Started

1.1 What Is ProjectVue

ProjectVue is a multi-tenant project portfolio management platform designed for organizations managing complex project environments. It provides tools for portfolio oversight, project execution, resource management, governance, and regulatory compliance.

1.3 Logging In

  1. Navigate to projectvue.app
  2. Select Sign In from the landing page
  3. Enter your registered email address and password
  4. If two-factor authentication (2FA) is enabled, enter the verification code from your authenticator application
Note: Organizations on Business and above may enforce mandatory 2FA for all users. On Validation plans, 2FA enforcement is mandatory and cannot be disabled.

1.4 Setting Up Two-Factor Authentication

Two-factor authentication adds a second layer of security to your account.

  1. Navigate to Profile (top-right user menu)
  2. Select the Security tab
  3. Select Enable Two-Factor Authentication
  4. Scan the QR code with an authenticator application (Google Authenticator or Microsoft Authenticator)
  5. Enter the six-digit verification code to confirm setup
  6. Save your backup codes in a secure location — these may be used if access to your authenticator is lost
Organizations on Business and above can enforce mandatory 2FA via Settings > Security. On Validation plans, 2FA enforcement is mandatory and cannot be disabled by any administrator.

1.5 Updating Your Profile

Navigate to your user avatar (top-right) and select Profile. From your profile page you can update: display name, job title, contact email, notification preferences, time zone, and profile photo.

Section 2

Your Organization Administrators

2.1 Tenant Setup

When your organization first activates ProjectVue, an Owner account is created. The Owner completes initial setup from Settings > Organization:

  • Organization name and logo
  • Default time zone and currency
  • Date format preference

2.2 Inviting Users

  1. Navigate to Settings > Users > Invite User
  2. Enter the user's email address
  3. Assign a role (see 2.3 below)
  4. Select which portfolios or business units the user should access
  5. Send invitation
Invited users receive an email with a secure link valid for 72 hours. If the link expires, re-send the invitation from Settings > Users.

2.3 Roles and Permissions

ProjectVue uses role-based access control. The following roles are available on all plans:

Portfolio ManagerCreates and manages portfolios, approves intake requests, accesses all projects within assigned portfolios.
Project ManagerCreates and manages projects within assigned portfolios. Full access to all project tabs.
Business UserRead-only access to assigned projects and portfolios. Can submit intake requests and view reports.
Validation The Compliance Manager role is exclusive to the Validation plan. Provides access to GxP Workspace, VSR management, RTM, deviation workflows, lifecycle phase locking, and audit trail exports.

2.4 Deactivating Users

  1. Navigate to Settings > Users
  2. Locate the user and select Deactivate

The user loses access immediately. Their project data, assignments, and history are preserved. Deactivated users do not count toward your plan's user limit.

2.5 Business Units Business+

Business Units allow large organizations to segment their portfolio by division, geography, or function. Each Business Unit can have its own portfolio set, intake queue, lifecycle templates, dashboard, and user assignments.

To create a Business Unit: Settings > Business Units > Add Business Unit.

2.6 Billing

Billing is managed at the organization level. Navigate to Settings > Billing to view your current plan, update payment methods, download invoices, or change your billing cycle.

Downgrading your plan may restrict access to features and data associated with higher-tier functionality. Review the impact carefully before confirming.
Section 3

Portfolios

3.1 Creating a Portfolio All Plans

Portfolios are the top-level organizational container in ProjectVue. Navigate to Portfolios > New Portfolio, enter a name, description, optional owner, and assign users.

3.2 Portfolio Dashboard All Plans

The Portfolio Dashboard provides a live summary of all projects:

  • RAG summary — count of Red, Amber, Green projects
  • Budget summary — total approved vs. spent across all projects
  • Upcoming milestones — next 30 days
  • Project count by status and phase

3.3 Portfolio Prioritization Professional+

The Prioritization view ranks projects using a weighted scoring model. Configure scoring dimensions (Strategic Fit, ROI, Risk, Resource Availability, Regulatory Requirement) and weights in Settings > Lifecycle > Prioritization. Projects are scored automatically and displayed in a ranked list with manual override support.

3.4 Portfolio Review Professional+

Portfolio Reviews are structured checkpoint meetings documented within ProjectVue, capturing review date, attendees, RAG summary, key decisions, and actions. Reviews are stored and a PDF summary is auto-generated.

3.5 Lifecycle Management All Plans

Portfolios can be assigned a lifecycle template defining standard phases, gate criteria, and mandatory deliverables. Templates are configured in Settings > Lifecycle.

Section 4

Projects

4.1 Creating a Project All Plans

  1. Navigate to a portfolio and select New Project
  2. Enter project name, description, start date, and target end date
  3. Select methodology: Waterfall, Agile, or Hybrid
  4. Select a lifecycle template (optional)
  5. Assign a Project Manager and save

4.2 Project Tabs

Each project contains the following tabs. Tabs marked with a badge require the indicated plan or higher:

4.3 Gantt Chart All Plans

The Gantt chart provides a visual schedule for the project, including:

  • Drag-and-drop task scheduling
  • Dependency types: FS (Finish-to-Start), SS (Start-to-Start), FF (Finish-to-Finish), SF (Start-to-Finish)
  • Critical path highlighting
  • Milestone markers and today line indicator
  • Zoom levels: Day, Week, Month, Quarter

4.4 Baseline Tracking Professional+

Baselines capture a snapshot of your schedule at a point in time. Professional plans support up to 3 saved baselines; Business and above support unlimited baselines. Baselines are displayed as ghost bars behind the current schedule. To save: Gantt > Baseline > Save Current Baseline.

4.5 Change Requests (PCR) Business+

Project Change Requests formalize scope, schedule, or budget changes through a structured workflow: Draft → Submitted → Under Review → Approved / Rejected. Each PCR captures change description, impact, requestor, approver, and decision rationale. Approved PCRs automatically update project baselines.

4.6 RAID Log All Plans

The RAID log tracks four categories:

  • Risks — probability, impact, mitigation
  • Assumptions — status, owner
  • Issues — severity, resolution
  • Dependencies — type, linked project, status

Items can be assigned to team members and linked to milestones.

4.7 Status Reports Professional+

Status reports are structured project health summaries capturing: reporting period, overall RAG, schedule / budget / scope RAG, key achievements, issues and risks, and next period plan.

AI Narrative Generation Professional+ — ProjectVue can generate a draft status narrative automatically by analysing milestone completion, budget variance, and open RAID items. Select Generate AI Narrative in the Status Report editor. Review and edit before publishing.

Workspace

The Workspace provides cross-project views for users working across multiple projects in a portfolio.

Section 6

Intake Business+

6.1 Submitting Intake Requests

Any user with Business User role or above can submit a project intake request. Navigate to Intake > New Request and complete the form: project name, business case, strategic alignment, estimated effort and cost, requested start date, and sponsoring business unit.

6.2 AI Scoring Business+

When a request is submitted, ProjectVue's AI scoring engine evaluates it across configured dimensions: Strategic Alignment, Financial Return, Resource Feasibility, Regulatory Requirement, and Risk Level. Scores are displayed alongside submitted requests and can be overridden by Portfolio Managers.

6.3 Stack Ranking and Approval

Portfolio Managers review scored requests and can: Approve (convert to a project), Defer (hold for a future cycle), or Reject (close with a recorded rationale). Approved requests are automatically created as draft projects in the target portfolio.

Section 8

Resources

8.1 Project-Scoped Resources Professional+

Assign team members to project tasks and phases, tracking allocation percentage and hours. View resource utilisation within the project.

8.2 Resource Pool Business+

The Resource Pool is an organization-wide register of named resources with name, role, department, capacity (hours/week), and skills tags. Resources can be allocated across multiple projects simultaneously.

8.3 Capacity Heatmap Business+

Visualizes resource utilisation across all projects for a selected time period: Green = under-allocated, Amber = approaching capacity, Red = over-allocated. Updated in real time as allocations change.

8.4 Conflict Detection Business+

ProjectVue automatically detects conflicts where a named resource is allocated beyond their available capacity. Conflicts are flagged in the Resource view and on the originating project. Portfolio Managers receive alerts for unresolved conflicts.

8.5 What-If Scenarios Business+

Model resource allocation changes before committing. Business plan: up to 3 saved scenarios. Business+ and above: unlimited. Create a scenario, adjust allocations, and compare the resulting heatmap against the current baseline.

Section 9

Import

9.1 Excel Import Professional+

Import project data from Excel using the ProjectVue Import Template. Supported data types: milestones, tasks, RAID items, budget lines, resources. Download the template from Settings > Import > Download Template, populate it, and upload via Settings > Import > Upload File. A preview is shown before confirming import.

9.2 MS Project XML Import Business+

Import a full MS Project plan from an .xml export. ProjectVue maps tasks to phases and milestones, all four dependency types, resource assignments, and baseline data. A baseline snapshot is created automatically on import. Access via Settings > Import > MS Project XML.

9.3 Import Templates

Templates are available for download at Settings > Import. All templates include field descriptions and example data, and are version-controlled — always use the latest version to avoid import errors.
